Announcing Studio Waveland’s Art Gallery Summer Takeover 2025

 

We often get requests from artists interested in doing their own shows in the gallery, so we  have put together a Summer Art Gallery Weekly Rental Program. The idea is to keep the gallery active during the times we’re not running our own exhibitions, and give artists an opportunity to showcase their work in a professional setting.

We are sending this email to a small selection of friends first, then we will send out a mass email next.

“Summer Spotlight” or “SummerWorks”

Art Gallery Weekly Rental Program Overview:

 

The Summer Spotlight program offers local and visiting artists the opportunity to rent gallery space for one-week intervals to showcase and sell their work in a professional and flexible setting.

Designed for painters, photographers, sculptors, mixed media artists, and performance artists, giving local and emerging artists the opportunity to take over the gallery space for a week to create, install, and showcase a solo or group exhibition.  Each week brings a new perspective, transforming the gallery into a rotating showcase of fresh talent and innovation.

 

Location: Studio Waveland + Gallery

Duration: June 1 – July 31
Rental Term: Weekly (Monday–Sunday)
Hours of Operation: 11 AM – 7 PM daily (extended hours available upon request)

 

What’s Included:

  • Gallery Space:

    • 1000 sq ft ( need to measure)

    • White walls, professional track lighting, concrete floors, Atrium, back room

    • Wide open wall space & pedestals included

    • ( include floor plan)

  • Promotion:

    • Featured post on gallery’s social media (IG, Facebook, Twitter)

    • Event listing on gallery website and monthly newsletter

    • Email blast to 1500 people

  • Opening Night Support:

    • Use of gallery space for reception (Thurs,  Fri or Sat night)

    • Optional- Staff member present for assistance

    • Optional- catering recommendations

  • Sales Support if needed:

    • Gallery staff available to process sales

    • 15% commission on sales (includes credit card fees)

  • Security & Insurance:

    • Basic insurance included (additional coverage available)

    • Secure locking system and monitored camera surveillance

    • Parking & Handicap ramp

June 3 – July 29, 2025
(9 Weeks Total: Tuesday–Tuesday)

Rental Details:

  • Duration: 7 days (Tuesday–Tuesday)

  • Cost: $600 per week (includes utilities, basic lighting, and promotion)

  • Deposit: $600 refundable security deposit

  • Included:

    • Use of gallery space for art related show (not for private party/event rentals)

    • Opening night support (optional)

    • Gallery listing on website/social media

    • Access to pedestal/installation supplies (limited)

Discounts:

  • Book 2+ weeks: 10% off total

  • Students (with ID): 15% off

 

Optional Add-ons:

  • Art Installation Assistance – $100 flat fee

  • Professional Photography of Exhibition- recommendations

  • Live Music Booking for Opening - recommendations

 

Artist Responsibilities:

  • Install and deinstall their work within the rental window

  • Host their own opening reception (optional, typically Friday or Saturday)

  • Maintain open gallery hours on Saturday (minimum: 4 hours/day or by appointment other days)

  • Promote their show (gallery will assist with broader promotions)

 

Suggested Weekly Timeline:

  • Tuesday: Key pickup, installation begins

  • Wednesday–Thursday: Installation continues

  • Friday or Saturday: Opening reception

  • Sunday–Monday: Gallery open for viewing, Deinstallation and clean-up Sunday evening and Monday. 

  • Tuesday Morning: key return

 

Promotional Support:

  • Featured post on gallery’s social media channels with artist PR material (Instagram, Facebook, etc.)

  • Gallery newsletter feature using artist PR material (sent before each takeover)

  • Shared event listing on local art calendars

 

Application Process for Artists:

  • Submit 5–10 sample images, artist bio/portfolio, proposed exhibition idea, preferred dates

  • Rolling acceptance based on availability

  • Group shows, installations, and multimedia work encouraged

  • Complete online application form

  • Notification within 5 business days of submission

 

Who Can Apply:

  • Emerging and established artists

  • Solo or group shows welcome

  • All mediums considered

 

Cancellation Policy:

  • Full refund with 30+ days’ notice

  • 50% refund with 14–29 days’ notice

  • No refund with less than 14 days’ notice

Artwork Installation & Takedown Rules

To maintain a smooth transition between weekly rentals and to ensure the safety and professionalism of the gallery space, the following policies are in place for hanging and removing artwork:

Installation (Hanging Artwork):

  • Installation Timeframe:
    Tuesday between 10 AM – 5 PM (unless otherwise arranged)

  • Tools & Hardware:

    • Gallery provides hanging hooks & hardware

    • Artists can drill, hammer, or adhere directly to walls but will need to review with the gallery beforehand

    • Pedestals and display cases available upon request

  • Assistance:

    • Artists are responsible for installing their own work 

    • A staff member will be available to provide guidance on gallery standards and safety in advance

  • Labeling:

    • All artwork must be labeled with title, medium, dimensions, and price (if for sale)

    • Wall labels must be neatly affixed and approved by gallery staff

Takedown (De-Installation):

  • Takedown Timeframe:
    Sunday from 5 PM – 7 PM OR Monday 10 AM-4 

  • Clean-Up Requirement:

    • All wall hooks, wires, and labels must be removed

    • Walls (nail holes & paint touch up) and pedestals must be returned to original condition

    • Trash must be disposed of in designated bins; no materials may be left behind

  • Late Removal Fee:
    $100 if artwork is not removed by the end of the rental term, unless previously arranged

  • Damage Policy:
    Deposit is required in case of any excessive damage to gallery walls or property.
